HR Navigator: AI HR Agent for Microsoft Teams

HR Navigator: AI HR Agent for Microsoft Teams
Overview

HR Navigator is an AI-powered HR self-service agent built natively inside Microsoft Teams. Designed to transform how employees interact with HR, the platform gives every employee a persistent, always-on conversational interface to ask HR questions, access policy documents, raise queries, and check the status of open tickets — without ever needing to contact an HR team member directly. The agent connects to HR systems, support desk platforms, payroll, and policy document libraries, enabling employees to get accurate, role-aware answers in real time. Role-based configuration allows HR teams to tailor the agent's capabilities and content access for different employee groups across the organisation.

Challenges

HR teams were overwhelmed with repetitive, policy-based employee enquiries consuming significant time and resource.

Employees had no single, accessible place to find HR policy information, raise queries, or check ticket status.

Fragmented data across HR systems, support desk platforms, payroll, and policy documents made self-service difficult to implement.

The solution needed to be persistently available and embedded into an existing platform employees already used daily.

Role-based access was required to ensure appropriate content and capabilities were surfaced for different employee groups.

Approach
01

Agent Design and Conversation Architecture

Designed the conversational architecture and intent model for the HR agent, mapping the full range of employee query types across policy, payroll, IT support, and HR operations into a coherent agent workflow.

02

Microsoft Teams Integration

Built and deployed the agent natively inside Microsoft Teams, ensuring the agent was persistently available to all employees within their existing daily workflow.

03

System and Data Connectivity

Connected the agent to HR systems, support desk platforms, payroll, and policy document libraries, enabling real-time query resolution and ticket status retrieval across integrated data sources.

04

Role-Based Access and Personalisation

Implemented role-based configuration allowing HR administrators to control which capabilities, content, and data sources were accessible to different employee groups, ensuring appropriate and secure information delivery.

05

Policy Knowledge Integration

Ingested and indexed HR policy documentation into the agent's knowledge layer, enabling accurate, citation-backed responses to policy queries such as remote working entitlements, expense policies, and leave entitlements.

Delivered Results

Delivered a fully functional AI HR self-service agent embedded within Microsoft Teams and available to all employees.

Employees can query HR policy, check support ticket status, and raise payroll queries through a single conversational interface.

HR teams benefit from reduced volume of repetitive enquiries, freeing capacity for higher-value work.

Role-based access controls allow HR administrators to tailor the agent experience for different employee groups.

The agent operates persistently inside Teams, requiring no separate application installation or login.
